1. About this service
Tripura Renewable Energy Development Agency (TREDA) operates a digital complaint management system intended to receive, register, process, route and communicate the status of complaints and service requests relating to TREDA's activities.
2. Information we may collect
- Name and contact details, such as mobile number, email address and other details voluntarily provided by you.
- Complaint information, descriptions, locations, dates and supporting information.
- Attachments or documents that you choose to submit.
- WhatsApp account/phone number and message content when you contact the service through WhatsApp.
- Technical information reasonably required to operate, secure and troubleshoot the service.
3. How information is used
- To register and process complaints and service requests.
- To communicate acknowledgements, updates, requests for information and resolutions.
- To route complaints to the appropriate department, officer or service function.
- To use AI-assisted tools for tasks such as classification, categorisation, prioritisation or routing where enabled by the system.
- To maintain security, prevent misuse and improve service quality.
- To comply with applicable law, government rules, record-retention requirements and lawful directions.
4. AI-assisted processing
The system may use artificial-intelligence-assisted processing to help categorise, classify, summarise or route complaint information. AI assistance does not by itself change the legal responsibility of the competent authority or authorised officials for handling complaints. Users should avoid submitting unnecessary sensitive personal information in a complaint.
5. WhatsApp and third-party services
When you use WhatsApp to communicate with TREDA, your interaction is also subject to WhatsApp's applicable terms and privacy policies. TREDA may use authorised technology/service providers to deliver messaging, hosting, security or application functionality. Such providers are expected to process information only for authorised purposes and in accordance with applicable requirements.
6. Sharing and disclosure
Information may be accessed by authorised TREDA personnel and service providers who need it to operate or administer the complaint process. Information may also be disclosed where required or permitted by applicable law, regulation, court order, government direction, audit, investigation or other lawful process.
7. Data retention
Complaint records and related information may be retained for as long as necessary to process the complaint, provide accountability and comply with applicable government record-management, legal, audit and archival requirements. Accordingly, a deletion request does not necessarily mean that every record can be erased immediately or permanently.
8. Security
Reasonable technical and organisational safeguards are used to protect information against unauthorised access, alteration, disclosure or destruction. No internet-based system can guarantee absolute security.
9. Your requests
You may request information about personal data associated with your interaction, or request correction/deletion where applicable. Requests are assessed against applicable legal, regulatory, security and government record-retention requirements.
10. Data deletion
To submit a data-deletion request, use the User Data Deletion Request page. Requests may require verification of identity or ownership of the relevant contact information.
